Mentor System

The Mentor System is an integral part of the academic and administrative structure of the institution, designed to provide continuous support, guidance, and communication between the students and the faculty. This system aims to ensure the holistic development of students by fostering a strong relationship between mentors and their mentees, addressing academic queries, and facilitating smooth academic progress.

1. Assignment of Mentor Groups

Each teacher in the institution is assigned a mentor group consisting of an equal distribution of students. The allocation is done carefully to ensure that all students receive equal attention and guidance. The mentors are responsible for maintaining regular contact with their assigned students to provide academic assistance and address any queries they may have. This ongoing interaction is crucial for identifying and resolving any issues that might affect the students' academic performance or overall well-being.

2. Responsibilities of Mentors

Mentors are entrusted with several key responsibilities to ensure that students are well-informed and on track with their academic requirements:
a) Academic Information Exchange: Mentors are responsible for keeping their mentees informed about all academic updates and information, including deadlines for assignments, sessional work, practical work, and examinations. This includes ensuring that students are aware of and adhere to all academic schedules and requirements.
b) Fee Submission and Notices: Mentors play a crucial role in reminding students to submit their fees on time. They are responsible for disseminating all relevant notices and reminders regarding fee submission and any other financial obligations.
c) Coordinating Student Activities: Students are expected to follow their respective mentors for guidance and support. Mentors coordinate with their students to ensure they comply with institutional norms, including attendance, submission of assignments, and participation in examinations.

3. Specific Duties of Mentors

Mentors are required to perform a variety of duties to support their mentees and ensure the smooth functioning of the institution:
a) Fee Retrieval: Mentors assist the institution in ensuring that all students fulfill their fee obligations promptly.
b) Academic Work Supervision: Mentors oversee the completion and submission of assignment work, sessional work, practical work, house exams, and university exams. They also monitor student attendance and manage roll numbers.
c) Information Circulation: Mentors are responsible for circulating all college-related information to their mentees, including notices, office orders, and other important communications.
d) Syllabus Enquiries: Mentors address any syllabus-related queries from students, ensuring they have a clear understanding of the curriculum and academic expectations.
e) Leave Sanctioning: Mentors have the authority to sanction up to two days of leave for their mentees. For leave requests exceeding two days, students must seek permission from the Vice-Principal or Principal.
f) Attendance on Important Days: Mentors are responsible for ensuring that their students attend important institutional events and celebrations, which are vital for their holistic development.
g) Recovery of Fees and Fines: Mentors assist in the recovery of any outstanding fees, fines, or other charges from their mentees.
h) Support for Academic Queries: Mentors provide continuous support to students for any academic-related issues, ensuring they receive the necessary guidance and resources to succeed.

4. Ensuring Effective Communication and Support

The success of the Mentor System relies heavily on effective communication between mentors and their mentees. Mentors are expected to be approachable, supportive, and proactive in addressing the needs and concerns of their students.
