Composition:

The committee is comprised of four members from the teaching staff, ensuring a balanced representation of different perspectives and expertise.

Objectives:

1. Preparation for smooth conduction of examination:
o Ensuring all aspects of the examination process are well-organized and efficiently managed.
o Anticipating potential issues and proactively addressing them to minimize disruptions.
2. Preparing Question Paper Duty Chart for the Teaching Staff:
o Assigning specific responsibilities to faculty members for preparing question papers.
o Ensuring a fair and systematic distribution of duties among the staff.
3. To Ensure Question Papers are Prepared in Advance:
o Making sure all question papers are ready well before the examination dates.
o Coordinating with the teaching staff to avoid last-minute rush and errors.
4. To Prepare Invigilator Duty Chart, Seating Plan, Attendance Record of Students:
o Creating a duty roster for invigilators to oversee the examinations.
o Organizing a seating plan to prevent cheating and ensure smooth conduct.
o Keeping accurate attendance records for accountability and record-keeping.
5. To Address Complaints of Students and Staff Concerning Exam-Related Issues to the Student’s Welfare Officer and Principal:
o Acting as a mediator between students, staff, and higher authorities to resolve any examination-related grievances.
o Ensuring fair and transparent handling of complaints.
6. To Assign Evaluation Duties:
o Allocating tasks related to the evaluation of answer sheets among the teaching staff.
o Ensuring a balanced workload and timely completion of evaluations.
7. To Publish the Result and Maintain Record:
o Overseeing the publication of exam results.
o Maintaining comprehensive records of examination data for future reference.

Procedure:

1. Prepare Relevant Schedule of the Examination Based on the Academic Calendar:
o Developing a detailed examination timetable that aligns with the institution's academic schedule.
o Ensuring no conflicts with other academic activities.
2. Prepare and Display Overall Supervision Duty List:
o Listing all supervisory roles and responsibilities.
o Displaying this list publicly to keep everyone informed.
3. Ensure the Evaluation of the Session is Completed on Time:
o Monitoring the progress of answer sheet evaluations to meet deadlines.
o Addressing any delays promptly to keep the process on track.
4. Publish the Results and Take Necessary Steps for the Conduct of Supplementary Exam in Time:
o Announcing results in a timely manner.
o Organizing supplementary exams for students who need them.
5. Maintain All Examination Records:
o Keeping detailed and organized records of all examination-related documents.
o Ensuring easy access for future reference and audits.
6. Receive Cases of Malpractice During Examination and Resolve It:
o Investigating reports of cheating or other malpractices.
o Taking appropriate disciplinary actions as per the institution's policies.

4. To Keep a Follow-Up for the In-Time Examinations and the Exam-Related Duties for the Smooth Conducting of the Examination:
o Monitoring all aspects of the examination process continuously.
o Ensuring that all duties are performed efficiently and on time to avoid any last-minute issues.
